Welcome to KaziEasy! These Terms and Conditions ("Terms") govern your use of the KaziEasy mobile application and services. By creating an account or using KaziEasy, you agree to these Terms.
1. Acceptance of Terms
By accessing or using KaziEasy, you agree to be bound by these Terms, our Privacy Policy, and all applicable laws and regulations. If you do not agree with any part of these Terms, you may not use our services.
2. Service Description
KaziEasy is a mobile point-of-sale (POS) application designed for small businesses in Rwanda and East Africa, including:
- Restaurants, cafes, and food service businesses
- Retail shops, kiosks, and mini-supermarkets
- Salons, barbershops, and service providers
KaziEasy provides:
- Sales transaction processing
- Inventory management
- Staff management and access control
- Business analytics and reporting
- AI-powered business insights (Hosanna)
- Receipt printing integration
3. Account Registration
3.1 Eligibility
You must be at least 18 years old and legally capable of entering into binding contracts to use KaziEasy. By creating an account, you represent that you meet these requirements.
3.2 Account Creation
When you create an account:
- You must provide accurate and complete business information
- You are responsible for maintaining the confidentiality of your Business ID and password
- You are responsible for all activities that occur under your account
- You must notify us immediately of any unauthorized use
3.3 One Account Per Business
Each business is entitled to one KaziEasy account. Creating multiple accounts for the same business is prohibited.
4. Subscription and Payment
4.1 Free Trial
New accounts receive a 30-day free trial with full access to all features. No credit card is required for the trial period.
4.2 Subscription Plans
After the trial period, continued use requires a paid subscription:
- Standard Plan: RWF 15,000 per month
- Payment is due at the beginning of each monthly billing cycle
- Subscriptions automatically renew unless cancelled
4.3 Payment Methods
- Mobile Money (MTN Mobile Money, Airtel Money)
- Bank transfer (for annual subscriptions)
4.4 Late Payment
If payment is not received within 7 days of the due date:
- Your account will be suspended (read-only mode)
- You cannot process new transactions
- Historical data remains accessible
- Account is fully restored upon payment
4.5 Refund Policy
- No refunds for partial months of service
- If you cancel mid-month, you retain access until the end of the billing period
- Refunds may be issued at our discretion for service outages exceeding 72 hours
5. Acceptable Use
5.1 Permitted Use
You may use KaziEasy for:
- Managing legitimate business operations
- Processing customer transactions
- Tracking inventory and expenses
- Generating business reports and insights
5.2 Prohibited Use
You may NOT use KaziEasy to:
- Conduct illegal activities or transactions
- Process payments for prohibited goods (weapons, drugs, counterfeit items)
- Violate any local, national, or international laws
- Resell or redistribute the service without authorization
- Attempt to hack, reverse engineer, or compromise the app
- Upload malicious code or viruses
- Impersonate another business or person
6. Data Ownership and Backup
6.1 Your Data
You retain full ownership of all business data entered into KaziEasy, including:
- Sales transactions and customer information
- Inventory and supplier data
- Employee information
- Reports and analytics
6.2 Data Export
You can export your data at any time in CSV format through the app's reporting features.
6.3 Data Backup
While we perform regular automated backups, you are responsible for maintaining your own backups of critical business data.
7. Service Availability
7.1 Uptime
We strive to maintain 99% uptime but do not guarantee uninterrupted access. Scheduled maintenance will be announced in advance when possible.
7.2 Offline Mode
KaziEasy requires an internet connection for most features. Limited offline functionality may be available but is not guaranteed.
7.3 Third-Party Services
KaziEasy relies on third-party services (Supabase for hosting, Anthropic for AI). We are not responsible for outages or issues with these providers.
8. Intellectual Property
8.1 KaziEasy Property
All rights, title, and interest in KaziEasy (including the app code, design, trademarks, and logos) belong to AsantePOS and are protected by copyright and trademark laws.
8.2 License
We grant you a limited, non-exclusive, non-transferable license to use KaziEasy for your business during your subscription period. This license terminates when your subscription ends.
8.3 Feedback
If you provide feedback or suggestions about KaziEasy, we may use them without any obligation to compensate you.
9. Limitation of Liability
9.1 Service "As Is"
KaziEasy is provided "as is" without warranties of any kind, either express or implied. We do not guarantee that:
- The service will be error-free or uninterrupted
- All features will work perfectly in all scenarios
- The app will meet all your specific business needs
9.2 No Liability for Business Losses
We are NOT liable for:
- Lost revenue or profits due to service interruptions
- Business decisions made based on reports or AI insights
- Incorrect data entry by you or your staff
- Loss of data due to your failure to export backups
- Issues with third-party services (thermal printers, payment providers)
9.3 Maximum Liability
Our total liability to you for any claim shall not exceed the amount you paid for the service in the preceding 3 months.
10. Indemnification
You agree to indemnify and hold harmless AsantePOS, its affiliates, and employees from any claims, damages, or expenses arising from:
- Your violation of these Terms
- Your violation of any laws or regulations
- Your use of KaziEasy for unlawful purposes
- Disputes between you and your customers or employees
11. Termination
11.1 By You
You may cancel your subscription at any time through the app settings or by contacting support. Cancellation takes effect at the end of the current billing period.
11.2 By Us
We may suspend or terminate your account if:
- You violate these Terms
- You engage in fraudulent or illegal activities
- Payment is overdue for more than 30 days
- You abuse or harass our support staff
11.3 Effect of Termination
Upon termination:
- Your access to KaziEasy will be revoked
- You have 30 days to export your data
- After 30 days, your data will be permanently deleted
- No refunds will be issued for remaining subscription time
12. Modifications to Terms
We may update these Terms from time to time. When we do:
- We'll notify you via email or in-app notification
- The updated Terms will be posted on this page with a new "Last Updated" date
- Continued use after changes constitutes acceptance
- Material changes will require your explicit consent
13. Governing Law
These Terms are governed by the laws of Rwanda. Any disputes shall be resolved in the courts of Kigali, Rwanda.
14. Dispute Resolution
14.1 Informal Resolution
Before filing any legal claim, you agree to contact us at support@kazieasy.com to attempt to resolve the issue informally.
14.2 Mediation
If informal resolution fails, we agree to attempt mediation before pursuing litigation.

16. Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
17. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and AsantePOS regarding KaziEasy.
By using KaziEasy, you acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions.
